Tour guide system rental for travel agencies and tour leaders
One order for the whole group, one invoice, and the same equipment on every trip. We rent tour guide systems to travel agencies in Warsaw and across Poland - for a single tour or an entire season.
Hundreds of receivers - and the fleet keeps growing
We can equip a full coach or several groups at once. No need to split your booking between two suppliers or explain to participants why some of them didn't get a receiver.
Book for a day, a week, or an entire season
Beyond three days, every extra day costs just 4 PLN per receiver. For ongoing partnerships and seasonal bookings, we agree on rates individually.
Delivery across Poland for 30 PLN
The same flat rate in Warsaw, Kraków, and everywhere else in the country - no per-kilometre calculations. Picking the equipment up at our location is free.
Participant numbers can still change
We can adjust the number of receivers up to the day before departure, subject to availability. You're only billed for the devices that actually went out with the group.
Replacement equipment if something fails
Every set is tested and charged before handover. If something still stops working during the rental, we deliver a replacement and stay reachable by phone for the whole duration of the tour.
VAT invoice and payment terms
A VAT invoice for every order. For regular, verified clients we agree on individual payment terms. The minimum order value is 250 PLN gross.
Each transport backpack holds 20 receivers plus a transmitter - ready to be split between tour leaders before departure.
🧮 How many tour guide sets does your group need?
The rule is simple: one receiver per participant and one transmitter per guide. For a group of 45 with one tour leader, that's 45 receivers and 1 transmitter.
If the group splits into smaller subgroups - say part of it tours a museum while the rest waits outside - each subgroup gets its own channel. The Okayo WT-300D has 25 UHF channels, so several tours can run side by side without interfering with each other. The guide switches their whole group's channel from the transmitter, without asking participants to change any settings.
Each transport backpack holds 20 receivers plus a transmitter, which makes it easy to split equipment between tour leaders before departure.
🎒 What's included in a headset system for a tour group
- Receivers - one per participant, 110 g, up to 35 hours of battery life per set.
- Transmitter for the tour leader or guide - 110 g, range up to 100 metres.
- Disposable ear tips for every participant - fresh with every order.
- Neck lanyards, so participants don't have to hold the receiver in their hand.
- Transport backpack holding up to 20 receivers plus transmitter.
- Instructions and phone support for the whole rental period.
The equipment arrives charged and paired. The tour leader turns on the transmitter, participants turn on their receivers - that's the entire setup.
🤝 How working with a travel agency looks
1. Inquiry. You tell us the date, number of participants, and location. We reply with availability and a quote.
2. Booking. We reserve the equipment for your date. In season (May-September) it's worth booking 7-14 days ahead, and earlier still for larger groups or a series of trips.
3. Pickup or delivery. You collect the equipment free of charge at our location, or we deliver it to your address for 30 PLN - including outside Warsaw.
4. Return and invoice. You return the set to the same location or arrange a pickup. We issue a VAT invoice.
For recurring trips, this cycle shrinks to a single message with the date and headcount - everything else is already set up.
